Before starting On Time Landscaping I served on an HOA board first as a board member on a builder controlled board and then as president. I saw firsthand how frustrating it was to receive one-size-fits-all landscaping bids not ones tailored to our community — followed by companies who did not deliver on their promises. I knew our community was not alone in facing these challenges. I founded On Time Landscaping: to provide a better, more reliable, and customizable landscaping solution. My mission has always been to serve customers with honesty, accountability, and personalized care.

Most times HOA managers and board members do not identify themselves as such but the accolades transcend property types.
Hedge trimming is often seen as a basic part of landscape maintenance contracts — but it is more complex than it looks and I want to fix it.
Many HOA landscape maintenance contracts use phrases like "neat and trim" or "manicured." What one person considers neat and trim or manicured, another might view as overgrown. Ask a few board members or residents what those terms mean to them, and you will likely get a variety of answers — leading to unmet expectations and frustration.
Now let’s talk cost. Every time bushes are hedge trimmed there are real, repeatable costs: labor, equipment, and disposal. Yet, in many contracts, there is no clear definition of how many times per year trimming will occur — and still, a fixed monthly price is expected. That raises an important question: If you don’t know how often it’s being done, how can you know what you’re really paying for or what it costs?
Have you ever asked landscapers to break out the annual cost of hedge trimming alone? Multiply that number of years communities have been paying for it and it can be eye-opening. And in some cases, the aesthetic concerns that drive hedge trimming could be resolved with better plant choices, redesigns, or even eliminating the need for trimming altogether — saving money and producing more consistent looking plants.

Many HOA maintenance contracts “include” trimming trees below about 10 to 12 feet off the ground. This does not address taking care of and the importance of healthy trees and the role they and their canopies play. Once trees are raised to over 10 / 12 feet where is the money going that is allocated in a maintenance contract? Straight into the pockets of the landscaper.

When people shop for a car, they usually know their budget. Someone looking for a used Toyota Camry probably is not going into a Rolls Royce dealership or vice versa— because they know what they can afford and what they are looking for. The same logic applies to landscape maintenance.
By providing landscapers with a clear set of expectation / RFP and a realistic budget, you are giving them the tools to build a proposal that makes sense for each community. A $500 a month budget includes different services or frequencies than a $1,500 a month budget — and knowing that range up front helps avoid wasted time and mismatched expectations.
Sharing specific “hot topics” or pain points about communities (e.g., irrigation issues, noise complaints, plant health) allows us to tailor our proposal to directly address what matters most to each community.

According to the Virginia Cooperative Extension “…the value of… a landscape improvement increases over time since the growth and maturity of trees and shrubs enhance aesthetic appeal.”(Source) It is generally less expensive to plant smaller plants than larger ones so do not wait as the time will never be just right. Get the ball rolling so these plants have time to grow!
In Baltimore, a 10% increase in tree canopy corresponded to a 12% decrease in crime(source).
In Fulton County (Atlanta), Georgia, mature trees positively influenced home sale prices. Homes sold for nearly $105,000 more in neighborhoods with mature trees. (Source)

Many landscape maintenance contracts claim that tree trimming is included — but often, it’s only “limited tree trimming” up to a certain height.
Why that height? In many cases, it has less to do with tree health and more to do with the landscaper's insurance limitations. This usually means only the lowest branches are trimmed, which rarely supports a healthy canopy or long-term tree structure.
The truth is: Healthy trees — especially mature ones — are valuable assets. They provide shade, reduce cooling costs, improve curb appeal, and can even increase property values. But to get these benefits, trees need more than just removing the bottom branches. They need prunning that includes the canopy to reduce wind resistance and prevent breakage during storms — which is often when you see branches (or entire trees) come down.
Want to understand the real cost of proper tree trimming? Ask a company or two, or more to bid just on tree trimming, even below the 10/12 feet that is sometimes included in maintenance contracts. You'll often find that the price of doing it right is equal to or greater than several months of the landscape maintenance contract. So if your landscaper says it's included, ask: How?
The reality is: Something else has to give, or the quality of the tree work suffers — and over time, that can cost your community far more. We have found that removing tree trimming from general maintenance contracts and establishing a separate, tree trimming program often results in:
